JOB OVERVIEW

We are seeking a highly organized and detail-oriented Administrative Assistant / Receptionist to support our fast-paced ready-mix concrete company. This dual-role position requires a dedicated professional who can handle a variety of administrative responsibilities, coordinate office operations, and serve as the first point of contact for visitors and clients. Responsibilities
• Manage day-to-day administrative tasks to ensure smooth office operations
• Perform data entry with accuracy and efficiency
• Maintain and organize filing systems, both digital and physical
• Prepare reports, spreadsheets, and presentations in Microsoft Excel and Word
• Handle scheduling, correspondence, and communication with vendors, clients, and contractors
• Provide general administrative support to management and field teams
• Maintain confidentiality and professionalism in handling sensitive business information
• Greet and welcome guests as soon as they arrive at the office, creating a positive first impression
• Provide basic and accurate information in-person and via phone/email
• Receive, sort, and distribute daily mail/deliveries
• Order office supplies and keep inventory of stock

Requirements
• Previous experience in construction administration (preferred)
• Exceptional organizational and multitasking abilities
• High attention to detail and ability to meet deadlines
• Strong communication skills, both written and verbal
• Self-motivated with the ability to work independently and adapt to changing priorities
• Ability to thrive in a fast-paced, high-pressure environment
• Ability to prioritize tasks effectively and manage time efficiently
• Strong problem-solving skills with a proactive approach to challenges
• Fast learner, adaptable to new tools and processes quickly
