Position Overview:
The Truck Sales Coordinator plays a vital role in supporting the used truck sales department by leading the sales support function. This administrative position ensures smooth operations by managing documentation, coordinating across departments, maintaining inventory systems, and assisting with reporting and office organization. While this is not a selling role, it is essential for enabling the sales team to achieve performance goals.

🕘 Schedule: Monday–Friday, 7:00 AM – 4:00 PM (occasional Saturdays)💵 Starting Pay: $21/hour (based on experience)🚛 Department: Used Truck Sales – Admin & Ops Support 📝 Reports to: Truck Sales ManagerPrepare and organize sales-related documentation, including purchase agreements, titles, bills of sale, and delivery paperwork.
Maintain accurate and organized filing systems for customer records, inventory logs, and financial documents—both digitally and physically.
Collaborate with the marketing team to support campaigns and reporting, and assist with CRM data analysis to help meet team goals.
Input customer and vehicle data into internal tracking systems and CRM platforms.
Prepare and submit DMV documents, title transfers, and regulatory reports to ensure compliance with state and federal requirements.
Maintain accurate DMV logs for internal audits and process tracking.
Act as liaison between sales, finance, service, detailing, and registration departments to ensure seamless deal execution.
Route incoming calls and emails to the appropriate team members.
Follow up on pending paperwork, vehicle statuses, and required approvals.
Regularly update truck listings on digital platforms (e.g., Truck Paper, dealership website), ensuring accurate specifications, pricing, and high-quality images.
Conduct lot walks to verify inventory, track vehicle readiness, and report any discrepancies.
Coordinate with service and detailing teams to prepare trucks for display or delivery.
Assist the Sales Manager in preparing reports, meeting summaries, and presentation materials.
Maintain and update electronic templates for standard forms such as sales agreements, finance sheets, and delivery checklists.
Manage inventory of office supplies, marketing brochures, and sales tools.
Ensure the sales office remains clean, organized, and professional.
Assist with document scanning, shredding, and digital archiving.
Help maintain an orderly and visually appealing truck lot.
Support the Sales Manager with administrative leadership, including staff task coordination and basic training of new team members.
Monitor workflow to ensure timely task completion and uphold quality standards.
Serve as the first point of contact for administrative or operational concerns within the sales team.
Prior administrative experience, preferably in automotive, trucking, or equipment sales environments.
Strong organizational skills, with a proactive and detail-oriented approach.
Excellent communication and interpersonal skills; ability to work cross-functionally.
Proficiency with Microsoft Office (Word, Excel, Outlook) and CRM platforms (Salesforce preferred).
Comfort working in a fast-paced, multitasking environment.
Professional demeanor and commitment to confidentiality.
Valid driver’s license required.
Marketing or social media experience is a plus.
