About the Role We are seeking a Medical Record Retrieval Specialist to support a leading health insurance organization. This role plays a critical part in ensuring accurate and timely document management, adherence to strict project timelines, and protection of Protected Health Information (PHI). The position is fully remote, offering flexibility within standard business hours.
Job Description As a Medical Record Retrieval Specialist, you will coordinate and implement activities that support the retrieval, processing, and organization of medical records for review by clinical and coding teams. Your responsibilities include:
- Managing and maintaining the medical records repository.
- Ensuring accurate and timely record uploads while complying with PHI protection standards.
- Retrieving medical records via fax, mail, remote electronic medical record access, or onsite visits at provider locations.
- Assisting internal teams and provider groups to troubleshoot logistical or technical issues related to record requests and storage.
- Communicating effectively with team members and external providers to meet challenging project timelines.
- Identifying process issues and contributing to solutions and improvements.
- Completing additional tasks as needed to support project goals.
Qualifications Required Qualifications - Associate Degree in Health Information or related field and 1 year of experience, OR 3 years of experience in lieu of a degree.
- Recent document management experience, including proficiency with Adobe Pro, scanners, flash drives, shared drives, and document repositories.
- Ability to use software tools for tracking record requests, receipts, and maintaining issue logs.
- Strong interpersonal communication and relationship-building skills.
- Excellent organizational skills with attention to detail and ability to prioritize tasks.
- Self-motivated, proactive, and able to work independently with minimal oversight.
- Ability to work under pressure and meet multiple deadlines.
- Proficiency in Microsoft Office (Excel, Word) and Adobe Pro, with adaptability to new tracking and data collection tools.
- Skilled in navigating and retrieving clinical information from electronic medical records.
- Knowledge of clinical documentation layout and experience with medical records.
Preferred Qualifications - Recent experience in healthcare or health plan environments.
- RHIT Certification.
- Prior experience in a clinical setting or with medical records.
- Familiarity with Microsoft Access and multiple software programs for process completion.
